The St. Ben’s Bash is powered by the strength of our community. We rely on parents, parishioners, alumni, and friends of St. Benedict School & Church to help create an unforgettable night that supports our students, teachers, and programs!
Whether you want to help behind the scenes, welcome guests, run raffle tables, or assist with artistic projects — there is a place for you on our volunteer team. More roles will open as the event approaches. Below is the current list of volunteer opportunities!
Featured Role:
Creative Projects Volunteer
We are actively seeking a talented, artistic volunteer to help guide St. Ben’s students in creating high-quality auction items for the Bash.
- Designing and coordinating an art project per grade (11 grade-levels)
- Helping classes create collaborative pieces
- Supporting teachers with materials and setup
- Creating framed art, painted pieces, or creative keepsakes
- Ensuring student-made items look professional and auction-ready
If you have an eye for design, crafting skills, or artistic experience, this is one of the most rewarding ways to support St. Ben’s!
Volunteer Roles Available:
- Gift Gathering Party Hosts: Support your grade’s Gift Gathering Party by coordinating a date, location, and communication with families. Hosts help collect items that match the grade theme and work with the Bash Team to prepare the donations for basket building. A fun, social role that builds excitement and community.
- Sponsorship Outreach Volunteers: Assist the sponsorship team by reaching out to local businesses, organizations, and families to secure event sponsors. Volunteers will follow provided scripts, work from a curated prospect list, and help track responses. Great for volunteers who are comfortable making calls or sending emails.
- Donation Solicitation Volunteers: Help secure silent auction and raffle items by contacting local businesses, studios, restaurants, service providers, and boutiques. Volunteers can choose specific categories to target (restaurants, experiences, sports, family activities, etc.). This is one of the highest-impact volunteer roles because every item you secure becomes direct fundraising revenue.
Event Operation Volunteers
- Event Setup Crew: Help transform the venue by setting up tables, décor, signage, basket displays, and auction materials.
- Basket & Auction Setup Team: Assemble baskets, stage silent auction tables, and organize items so they are displayed beautifully for guests.
- Registration & Check-In Team: Welcome guests, check them in, distribute bidder numbers, and get everyone started smoothly.
- Greeters & Wayfinding Volunteers: Guide attendees, answer questions, and help guests move through the event comfortably and confidently.
- Raffle Ticket Sellers: Engage guests throughout the night and help increase fundraising revenue by selling raffle tickets.
- Live Auction Spotters: Help the auctioneer by identifying bids and ensuring the live auction runs smoothly.
- Auction Checkout Team: Process winning bids using GreaterGiving and assist guests with payment and item pickup instructions.
- Auction Item Pickup Team: Organize and hand out items to winners, verify details, and help carry items out as needed.
- Floor Runners / General Support Crew: Jump into wherever help is needed during the event — refilling stations, assisting vendors, and solving problems fast.
- Dessert & Station Volunteers: Manage dessert tables or food stations, refresh items, and keep serving areas tidy.
- Photography & Social Media Volunteers: Capture event moments, feature sponsors, and help maintain live updates for St. Ben’s social platforms.
- Cleanup Crew: Support breakdown at the end of the event by clearing tables, removing décor, organizing supplies, and returning the venue to its original setup.
- Next-Day Item Management Volunteers: Help sort unclaimed items, contact winners, and organize pickups.
